Houston law firm is seeking an experienced legal assistant, 5-8+ years of heavy transactional experience with a focus on M&A. Ideal candidate has the ability to work well under pressure and meet deadlines; possess a strong client-service attitude; be self-motivated, punctual and reliable; and have excellent organizational and communication skills.
Essential Responsibilities:
- Answer phones and email messages; take messages for assigned duties; general client interaction
- Make appointments, reminders, and travel arrangements for assigned attorneys
- Coordinate calendars to schedule conference calls and meetings for multiple participants
- Facilitate incoming and outgoing mail, draft transmittal correspondence and accurately assemble enclosures, and handle special delivery items
- Create/update contacts for assigned attorneys
- Register assigned attorneys for CLE and business development events; tracking and submitting CLE credit to appropriate bar
- Prepare expense reimbursement requests
- Internet research of individuals and companies in connection with business development activities of assigned attorneys
- Confirm service and/or delivery of documents, with email confirmation to attorney in charge; scan green cards, fax confirmations, hand delivery confirmations, etc.
Experience and Skills:
- Updating/maintaining iManage files
- Proficient in advanced Word and Outlook skills
- Intermediate Excel and PowerPoint skills required
- Expert level Adobe Acrobat skills including organizing indexed documents, converting between Word and PDF formats, editing/searching PDF’s, combining and splitting PDF’s, and handling PDF signature pages, etc.)
- Good to expert iManage experience including searching, saving, naming, retrieving documents, setting up filing system within individual interwoven files so that filed documents can be systematically stored and easily retrieved, etc.)
- Assist in preparation closing binders
- Secretary of State Records; familiarity with research of secretary of state records (entity searches, people searches, UCC searches); familiarity with research on tax appraisal district records, all counties; deed records of Harris County and surrounding counties
- Maintain accurate and complete calendars and contacts – individual and group calendars & contacts
- Confirm service and/or delivery of documents, with email confirmation to attorney in charge; scan green cards, fax confirmations, hand delivery confirmations, etc.
